Admin Assistant User Guide

This guide explains how to use the Admin Support dashboard for participant support, intake scheduling, intake review, reports, attendance, lessons, communications, notes, and tasks.

First thing to do after signing in

Go to Admin Support → Intake Schedule and publish your availability. Once at least one active intake availability rule is published, new participant intake appointments will begin routing to your schedule.

Booking confirmations, calendar invitations, and staff reminders are sent to the email connected to your Admin Assistant account. Intake reminders are sent approximately 24 hours and 2 hours before the appointment.

Important limits
Your Admin Assistant account is designed for participant support. It does not provide owner-level access to refunds, fee changes, user management, curriculum changes, or system settings unless a Super Admin specifically changes your permissions.
1. Support Home

This is your starting point. It shows your upcoming intake appointments, open follow-up tasks, and report requests waiting for action. Use Participant Search to quickly find a participant by name, email, phone number, or court case number.

2. Participants / Participant 360°

Participant 360° is the main support record. It combines enrollment status, intake information, payments, schedule access, attendance, lessons, reports, communications, notes, and tasks in one place. Use the tabs across the top to move between each area.

3. Intake Schedule

Use My Intake Schedule to publish the days and times you are available for live intake appointments. As soon as you publish an active intake schedule, participant intake booking is routed to your availability. Flexible Schedule is for classes only and does not control intake appointments.

4. Conducting an Intake

Open the participant from your upcoming intake list and review the written intake responses, court information, uploaded documents, and intake notes. During the live intake, finalize the participant’s delivery format, class schedule access, and requirement. Group participants use either Flexible Schedule or one assigned recurring group class. Private One-on-One participants use Private One-on-One Flexible Schedule. For court-mandated participants, verify the required-session total against the court order; for court-related or self-referred participants, record a fixed agreed total or leave enrollment open-ended when appropriate.

5. Normal Intake Approval vs. Evaluation Workflow

Most intakes continue through the normal verification checklist and Approve / Permit process. For Court-Related / Recommended participants, staff may create the standalone Court-Recommended Evaluation Letter after reviewing the intake draft; that letter is saved to Program Documents, does not change the participant’s assigned class total, and warns that a future court order controls and completed classes may not receive court credit. Use the separate recipient-response evaluation workflow only when an authorized outside recipient must formally accept or reject the recommendation; that workflow pauses normal approval until the response is received.

6. Fees & Scheduling

Review payment history and the participant’s class schedule access. Group participants may be corrected to Flexible Schedule or one specific recurring group class. Private One-on-One participants must remain on Private One-on-One Flexible Schedule. Owner-only payment overrides, refunds, and fee changes remain restricted.

7. Attendance

Attendance is normally read-only. The trainer’s attendance entry remains the source of truth. If Attendance Correct permission is enabled for your account, you may make a documented clerical correction with a reason; the change is audited.

8. Lessons

Use the Lessons section to review assigned lessons and completed lesson results. You can also open the participant dashboard in Preview mode to troubleshoot lesson access. Curriculum content itself is not changed from Admin Support.

9. Reports

Process participant report requests using the existing Zinco verification workflow. Generate the requested report, review the PDF, complete the pre-send verification checklist, and send only after the authorization and fee requirements are satisfied.

10. Communications

Use approved communication actions to send enrollment resume links, intake confirmations, and dashboard access links. Participant Preview lets you see the dashboard without notifying or changing the participant’s data.

11. Notes & Tasks

Add internal administrative notes and follow-up tasks to help track participant support. Keep notes factual, professional, and limited to information needed for program administration.

Quick intake workflow
  1. 1. Open the participant from Upcoming Intake Appointments.
  2. 2. Review the written intake, court order if applicable, uploaded documents, and notes.
  3. 3. Verify or correct the number of required classes.
  4. 4. Conduct the live intake using the dedicated Zinco intake Zoom link.
  5. 5. Complete the verification checklist.
  6. 6. If no special evaluation is needed, use the normal Approve / Permit process.
  7. 7. For a Court-Related / Recommended participant, review the draft, confirm the number of classes and staff rationale, add the upcoming court date if known, and use Create Court-Recommended Evaluation Letter when a standalone letter is appropriate. The letter is saved to the participant record and does not change the assigned class total.
  8. 8. If an authorized outside recipient must formally accept or reject the recommendation, use the separate recipient-response evaluation letter instead and wait for their response. When accepted, Zinco updates the participant’s required classes and sends instructions to continue enrollment.
